Notice at Collection
At a glance
Research Purpose Only ("RPO") is collecting the information on this form to consider your application for RPO membership.
RPO operates from California, United States. RPO accepts applicants in the United States who are 21 years of age or older.
What is collected, and why
| What RPO collects | Why |
|---|---|
| Your name and email address, and your telephone number if you provide it | To identify your application and to contact you about it |
| Your city, state/region, and country | To confirm United States eligibility |
| Your certification that you are 21 years of age or older | To confirm age eligibility. RPO does not ask for your date of birth. |
| Your organization or institution, and a professional web address, if you provide them | To understand the context of your application |
| Your research interests and your answer to what brings you to RPO | To review your application |
| Which acknowledgements and certifications you give, the exact wording shown to you, and the version of each document in force | To keep an accurate record of what you agreed to |
| A keyed hash of your IP address, a shortened browser user-agent string, and a request identifier | Security, abuse prevention, and rate limiting. Your IP address itself is not stored. |
Government identification, where requested
RPO may request, review and retain a government-issued photo identification document in some circumstances where RPO considers it appropriate. It is not a universal requirement of application, approval, membership, or renewal.
Where RPO does hold such a document:
- The file is placed by hand into a private RPO Google Drive location by an RPO administrator. Access is restricted to the administrators who need it. RPO does not use "anyone with the link" sharing.
- The RPO application stores only a private link to the file, the document type, and which administrator attached or removed it and when.
- RPO does not extract or store anything printed on the document — no identification number, no date of birth, no address, no expiry date.
- RPO uses no optical character recognition, barcode reading, biometrics, facial matching, or automated identity-checking vendor, and creates no profile photograph.
What RPO does not collect
Date of birth · health or medical information · financial or payment information · biometric identifiers · precise geolocation · taxpayer or national identification numbers · profile photographs.
Retention, in short
RPO keeps application, membership, consent, certification, renewal, compliance and audit records for as long as needed for the purposes above, and afterwards where reasonably necessary for legitimate legal, business or compliance purposes.
Removing your personal details is normally anonymization rather than deletion of the whole record, because the record is the evidence of what was agreed and decided. RPO's retention schedule is provisional and is not automatically enforced.
Marketing email
Any marketing opt-in presented on this form is separate from the required acknowledgements and certifications and is never pre-selected. Opting in or declining has no effect on your application, and a member may opt out of marketing at any time without cancelling membership. Operational messages about your application and membership are treated separately from marketing.
Selling and sharing
RPO does not exchange personal information for money, and does not use it for cross-context behavioral or targeted advertising.
